This Privacy Policy describes how BidWell ("VendorClear," "we," "us") collects, uses, and shares information when you use the VendorClear websites and platform (the "Service").
1. Information we collect
- Account information — name, work email, organization, and role when you create an account or contact us.
- Vendor submissions — registrations, certificates, disclosures, and supporting documentation vendors provide through intake and their ongoing record.
- Screening data — records retrieved from public and commercial data sources in connection with a screen, including records about businesses and their principals.
- Usage information — log data such as IP address, browser type, pages viewed, and actions taken in the Service.
2. How we use information
- To provide the Service: run screens, cross-reference disclosures, deliver reports, and maintain vendor records.
- To operate, secure, and improve the Service, including audit logging of queries, findings, responses, and releases.
- To communicate with you about the Service, including alerts before documents lapse.
- To comply with legal obligations.
3. How information is shared
- Between vendors and agencies — screening reports, findings, and vendor responses are shared with the agency the vendor applied to. Vendors see flagged findings before the agency does.
- Service providers — vendors of hosting, payments, and similar services who process information on our behalf under contract.
- Legal — when required by law, subpoena, or public-records obligations applicable to our agency customers.
- We do not sell personal information.
4. Public records
Reports delivered to a public agency may become part of that agency's procurement file and may be subject to public-records laws applicable to the agency. Retention and disclosure of those files are governed by the agency's own policies and law.
5. Security
Information is encrypted in transit and at rest, access is role-based, and activity in the Service is logged. No system is perfectly secure; we encourage you to use strong, unique credentials.
6. Retention
We retain account and record information for as long as an account is active and as needed to provide the Service, resolve disputes, and meet legal obligations. Vendors' documents and history are preserved when a record goes inactive so the record can be reactivated.
7. Your choices
You may access and update your account information in the Service. Vendors control their profile visibility settings. To request access, correction, or deletion of information, contact support@vendorclear.com; we will respond consistent with applicable law and our obligations to agency customers.
8. Cookies
The websites use only cookies and similar technologies necessary to operate the Service, such as session and security cookies. We do not use third-party advertising cookies.
9. Children
The Service is for business use and is not directed to children under 16.
10. Changes
We may update this policy from time to time. Material changes will be posted on this page with an updated date.
